1. Introduction

Vecinify, Inc. ("Vecinify," "we," "us," or "our"), a Delaware corporation, operates a software-as-a-service platform designed to help community associations, homeowners associations (HOAs), and their boards of directors manage community operations and communicate with residents. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our platform, mobile applications, and related services (collectively, the "Service").

By accessing or using the Service, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Service.

2. Who We Are

Vecinify provides a SaaS platform licensed to community boards of directors and property management organizations. Residents access the Service through accounts created or authorized by their community administrator. Vecinify acts as a data processor on behalf of the community organization (the data controller) for resident data, and as an independent controller for account and operational data related to its direct customers.

3. Information We Collect

We collect the following categories of information:

Account Information. When a community administrator creates an account, we collect contact details such as name, email address, phone number, and organization name.

Resident Profile Data. Community administrators may input or invite resident data including names, unit/property address, email addresses, and phone numbers to set up resident accounts.

Usage Data. We automatically collect information about how you interact with the Service, including log data, IP addresses, browser type, device identifiers, pages visited, features used, and timestamps.

Communications. If you contact us for support or submit an inquiry, we collect the contents of your communications.

Facility & Maintenance Request Data. The Service enables residents to submit facility booking requests and maintenance requests. We collect the information you provide in those submissions (descriptions, photos, dates). Vecinify provides the tools for tracking these requests; we do not guarantee resolution timelines or outcomes.

Payment Billing Data. Vecinify bills community boards of directors for subscription access to the platform. Billing is processed through third-party payment processors. We do not store full payment card numbers on our systems.

We do not directly collect or process resident expense payments, HOA dues payments, or financial transactions between residents and their community associations. Any such transactions facilitated through the Service are between the resident and their community organization.

4. How We Use Your Information

We use information we collect to:

• Provide, operate, and improve the Service; • Authenticate users and manage accounts; • Enable communication between community administrators and residents; • Process subscription billing for community board customers; • Respond to support inquiries and provide customer service; • Send service-related notices and updates; • Monitor and analyze usage to improve platform performance and user experience; • Comply with legal obligations; • Enforce our Terms of Service.

5. Information Sharing and Disclosure

We do not sell your personal information. We may share information in the following circumstances:

Within Your Community. Information you submit through the Service (such as maintenance requests or facility bookings) is visible to community administrators and employees as designated by your community organization.

Service Providers. We engage third-party vendors to assist in operating the Service, including cloud hosting providers, payment processors, email delivery services, and analytics providers. These vendors are contractually obligated to protect your data and use it only as directed by us.

Legal Requirements. We may disclose information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

Business Transfers. In the event of a merger, acquisition, or sale of assets, user information may be transferred as part of that transaction. We will notify affected users as required by law.

With Your Consent. We may share information in other circumstances with your explicit consent.

6. Data Security

We implement industry-standard technical and organizational measures to protect your information from unauthorized access, loss, or disclosure. However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, and you use the Service at your own risk with respect to transmission security.

7. Data Retention

We retain personal information for as long as necessary to provide the Service, fulfill the purposes described in this policy, and comply with legal obligations. When a community's subscription ends or an account is deleted, we may retain anonymized or aggregated data for analytical purposes. You may request deletion of your data in accordance with Section 8 below.

8. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal information:

Access: Request a copy of the personal data we hold about you. • Correction: Request correction of inaccurate data. • Deletion: Request deletion of your personal data, subject to legal retention requirements. • Portability: Request your data in a portable format. • Opt-Out: Opt out of non-essential communications.

To exercise these rights, contact us at privacy@vecinify.com. We will respond within a reasonable timeframe and in accordance with applicable law. Note that some requests may be fulfilled by your community administrator, who controls the data within their community account.

9. Cookies and Tracking Technologies

We use cookies and similar technologies to operate and improve the Service, remember user preferences (including language selection), and analyze usage patterns. You may configure your browser to refuse cookies, but doing so may affect your ability to use certain features of the Service.

10. Third-Party Services

The Service may integrate with or link to third-party applications and services. This Privacy Policy does not govern the practices of third parties. We encourage you to review the privacy policies of any third-party services you access through or in connection with the Service.

11. Children's Privacy

The Service is not directed to individuals under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected such information, we will take steps to delete it.

12. International Users

Vecinify is headquartered in the United States. If you access the Service from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States or other countries where our service providers operate. By using the Service, you consent to such transfers.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes by posting the updated policy on this page with a new effective date and, where appropriate, via email or in-app notification. Your continued use of the Service after changes take effect constitutes your acceptance of the revised policy.
